Terms of Use
These terms are the agreement between you and HSA Expense Vault. They cover what the service does, what it does not do, what you are responsible for, and how billing works.

The short version
- We store and organize your medical receipts. We do not give tax advice and we do not touch your HSA.
- Your receipts are yours. Export them or delete them whenever you want.
- Free accounts keep every receipt they have stored, even if you stop paying.

The agreement
These terms are a contract between you and [Legal entity name], which operates HSA Expense Vault. By creating an account or using the service, you accept them. If you do not accept them, do not use the service. They take effect on August 7, 2026.
What the service is, and what it is not
HSA Expense Vault stores dated, itemized records of medical expenses you paid out of pocket, so that you can document a reimbursement from your health savings account whenever you choose to take one.
It is important to be precise about the limits.
- We do not give tax, legal, or financial advice. Nothing on the site or in the product is advice about your situation. Talk to a CPA or tax professional.
- We are not an HSA custodian. We do not hold, invest, transfer, or withdraw money, and we have no connection to the institution that holds your HSA.
- We do not file anything for you. Reporting an HSA distribution, on Form 8889 or otherwise, is your responsibility.
- We do not decide what qualifies. Whether an expense is a qualified medical expense, whether it occurred after your HSA was established, and whether it was reimbursed or deducted elsewhere are determinations you make.
- Investment figures are illustrations. They use historical S&P 500 returns with a long run 10% assumed rate where history runs out. They are not predictions, not advice, and not a statement about your account.
Your account
- You must be at least 18 and able to enter a contract.
- Give accurate information and keep your email address current, because that is how we reach you about security and billing.
- You are responsible for what happens under your account. Use a unique password and turn on two factor authentication.
- Tell us promptly if you believe someone else has access to your account.
Household vaults
A Premium or Lifetime account can invite household members into a shared vault. Every member of a household vault can see, add, and edit the receipts in it, and can export the archive. Invite only people you intend to have that access.
The account owner controls membership and can remove a member at any time, which ends their access going forward. Receipts a member added stay in the vault.
Your receipts stay yours
You own everything you upload. You give us only the permission we need to run the service for you: to store your files, display them back to you and your household members, read data from them, generate exports, and keep encrypted backups. That permission ends when you delete the content or your account.
You confirm that you have the right to upload what you upload, and that doing so does not violate anyone else's rights.
Checking the data
OCR reads the provider, date, and amount off your uploads and fills the fields for you. It is a convenience, not an authority. You are responsible for checking every extracted field before relying on it. We keep your original file exactly as uploaded, because the original is the evidence and the extracted data is only an index into it.
Duplicate detection is a helper too. It can miss duplicates and it can flag receipts that are not duplicates.
Acceptable use
Do not use the service to:
- upload anyone else's medical records without their permission,
- create records of expenses that did not happen, or otherwise support a fraudulent claim,
- break into, overload, probe, or disrupt the service or other people's accounts,
- resell or redistribute the service, or use it to build a competing product,
- upload malware, or content that is unlawful.
We may suspend or close an account that does these things. Where we can, we will tell you first and give you a chance to export your archive.
Plans, billing, and renewals
- Free
- $0. Up to 25 receipts and 100 MB of storage, with two factor authentication. No card required.
- Premium
- $59 per year or $5.99 per month. Unlimited receipts, OCR capture, duplicate detection, audit ready export, household sharing, and invested value projections.
- Lifetime
- $199 once, at the launch price. Everything in Premium with no renewal.
- Paid plans renew automatically at the end of each term until you cancel. Cancel any time from your account settings, effective at the end of the term you have already paid for.
- Prices are in US dollars and exclude any tax we are required to collect.
- We may change prices, but not for a term you have already paid for. We will give at least 30 days notice by email before a renewal at a new price.
- Lifetime means the operating life of the service, not your biological lifetime. If we ever shut the service down, see the section below on what we owe you.
Refunds: if you are unhappy within 30 days of a first purchase or a renewal, email us and we will refund it. Beyond that we do not offer prorated refunds, though we will always look at genuine billing errors.
Export and shutting down
You can export your entire archive at any time, on any plan, at no cost. The export is a single ZIP containing a ledger PDF, a CSV, and every original file.
If we ever discontinue the service, we will give at least 90 days notice by email, keep export working for that entire period, and refund the unused portion of any annual plan. Lifetime purchasers who bought within the 12 months before the notice will receive a prorated refund.
Availability and changes
We work to keep the service available, but we do not promise uninterrupted access. We may change features, and we may remove ones that few people use. If a change materially reduces what a paid plan does, we will tell you before it takes effect and refund the unused part of your term if you would rather leave.
Ending the agreement
You can close your account at any time. We may suspend or close an account for a serious or repeated breach of these terms, or where the law requires it. Except where the law forbids it, we will give you at least 30 days to export your archive before deleting anything.
Disclaimers
Except where the law does not allow it, the service is provided "as is" and "as available", without warranties of any kind, express or implied, including any implied warranty of merchantability, fitness for a particular purpose, or non infringement.
We do not warrant that OCR output is accurate, that duplicate detection catches every duplicate, that investment illustrations reflect any actual outcome, or that any expense you record will be accepted as qualified by the IRS or by anyone else.
Limitation of liability
To the extent the law allows, we are not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost tax benefits, or lost data. Our total liability for any claim relating to the service is limited to the greater of $100 or the amount you paid us in the 12 months before the claim arose.
Some states do not allow these limits, so parts of this section may not apply to you. Nothing here limits liability for fraud, or for anything else that cannot be limited by law.
Indemnification
You agree to cover our reasonable costs, including legal fees, arising from a third party claim caused by your misuse of the service, by content you had no right to upload, or by your breach of these terms.
Governing law and disputes
These terms are governed by the laws of the State of [State], without regard to its conflict of laws rules. Any dispute will be brought in the state or federal courts located in [State], and both of us consent to that jurisdiction. Either of us may still bring a claim in small claims court.
Before filing anything, email legal@hsaexpensevault.com with a description of the problem. Most things can be sorted out that way, and we will engage in good faith for 30 days.
The rest
- If a provision of these terms is unenforceable, the rest still applies.
- Not enforcing a provision once does not waive it.
- You may not transfer this agreement. We may transfer it as part of a merger or sale of the business.
- These terms and the privacy policy are the entire agreement between us about the service.
- We may update these terms. For material changes we will email you and update the date at the top of this page at least 30 days before they take effect. Continuing to use the service after that means you accept the new version.
